Please note that Zoom API has a daily rate limit of 100 requests per day. Therefore, only 100 meeting requests are permitted within a 24-hour window for a user. The 100 meetings for every 24-hour window are renewed and credited at 00:00 hours for each day.

Once you exceed the daily meeting limit, you will get the following error:

System.Exception: {"code":429,"message":"You have exceeded the daily rate limit (100) of Meeting Create/Update API requests permitted for this particular user. You may resume these requests at GMT 00:00:00."} at Services.ZoomService.AddEvent(Order order, Int32 businessId, ZoomBusinessData zoomBusinessData) in /app/Services/ZoomService.cs:line

Usage

How does Zoom integration work?

When clients book appointments, Appointy will create new meetings in Zoom and when appointments are rescheduled or canceled, Appointy will update your existing meetings in Zoom. Adding Notes and Status to an existing appointment will not get updated in Zoom.

Whenever a client books an online meeting with you, the booking confirmation email will include a meeting link instead of the business address location. If the appointment is booked for an on-premise service, then your business address will be displayed.

Zoom and multiple users

Only the main Appointy admin can connect their Zoom account by going to the Marketplace tab in the toolbar.

If the Zoom account has multiple users, the main Appointy admin can choose which staff calendars should create meetings for which Zoom user.

When you click on an appointment from your MySpace area or from the calendar, you will see that the Zoom meeting link is displayed in the appointment details panel on the left side of your screen.

You can customize the email template in order to send the Zoom meeting link to your clients in the appointment email notifications that they will receive. Here's how you can do it by following the below-given steps:

Go the Settings tab from the toolbar appearing on your left from your Appointy admin account.

Click on 'Customize Emails' appearing under the 'Customization' title-head.

Go to the 'Booking Confirmation' email notification template and click on the small expand icon appearing against it on the right side of the screen.

Once the email template expands, you will see an 'Edit' icon when you mouseover on the template.

Click on the 'Smarty Tags' button in the formatting toolbar and select 'Meeting Location' from the drop-down.

Once you edit the template, the Zoom meeting link will start appearing in the booking confirmation email that is sent to the clients. Similarly, you can also edit the booking reminder email template to include the Zoom meeting link in the reminder emails sent to the clients.

Booking confirmation page: Once a client books an online service with you, the appointment confirmation page will be displayed which will contain all the appointment details along with the Zoom meeting link.

Booking confirmation and other email notifications: The Zoom meeting link will appear in the booking confirmation email sent to your clients if you have edited the default booking confirmation email template and added the 'Meeting Location' smarty tag in Appointy to include the Zoom meeting links.

Similarly, the Zoom meeting link will appear in other email notifications also if you add the 'Meeting Location' smarty tags in other email notification templates.

How can you disable a service or a staff member from being booked online for Zoom meetings?

Disabling a service or a staff member from being booked online from Zoom meetings is as quick and easy as the integration itself. You can simply unlink a staff or a service with just a click by going to the Zoom integration window in your account. Here's how you can do it:

Disabling a service from getting booked for Zoom meetings online

Click on the 'Marketplace' icon from the toolbar on the right in your Appointy admin account.

Click on ‘Zoom Meetings’.

Click on the 'Change' tab appearing on the right against 'All Meetings'.

Once you click on the 'Change' tab, a list of services will appear. Uncheck the services that you want to disable from being booked for Zoom meetings online.

Click on the 'Done' button appearing at the bottom after you have unchecked the services to be disabled.

Disabling a staff member from getting booked for Zoom meetings online

Click on the 'Marketplace' icon from the toolbar on the right in your Appointy admin account.

Click on ‘Zoom Meetings’.

In the 'Zoom Meetings' integration window, you will see the staff members that you had previously linked to be able to be booked for Zoom meetings online. Click on the 'Unlink' button against the staff member that you want to disable from being booked for Zoom meetings online.

How can I take group bookings on Zoom using Appointy?

In order to take group bookings on Zoom, Appointy allows you with an option to share your Personal Zoom ID with your clients so that everyone in group bookings receives the same meeting ID.

The only thing you need to do is check 'Use Personal Meeting ID' when you integrate Zoom with Appointy. This will send your personal Zoom Meeting ID to all the clients when they book any online service or meeting with you.

Note: Your personal Zoom meeting ID will be shared with all the clients who book an online service or meeting with you, whether it is an individual booking or a group booking. You cannot enable sharing an instant meeting ID for individual bookings and personal meeting ID for group bookings.

Troubleshooting

When you link a single Zoom account with multiple Appointy accounts, other Appointy accounts will not get any notification when the Zoom is unlinked from any one of the Appointy accounts it had been linked with. At the same time, synchronization will be disabled from all the Appointy accounts without the user being notified.
